Colombian Independence Festival Exhibitors Terms and Conditions

1. Definitions

  • Stallholder: A person or company holding a stand at the event, specifically referring to Exhibitors and/or Sponsors.
  • The Event: The Colombian Independence Festival, to be held on 20th July 2024 in Brisbane and 21st July 2024 in Sydney.
  • The Exhibitor: The person or company named on the Exhibitor Registration Form.
  • The market: The Colombian Market held as part of the Colombian Independence Festival.
  • The Organisers: The Colombian Independence Festival committee and any duly authorised representatives.
  • The Sponsor: The person or company referred to in a tailored Sponsorship Agreement.
  • The Venue: The specific locations for the event in Brisbane (4 Ranwell Ln, Fortitude Valley) and Sydney (The Roundhouse).

2. Site Layout and Inclusions The site layout is subject to change based on technical feasibility and approval by the relevant authorities. Places are limited.

  • Marquees:
    • 3×3 marquees: Include a 3mx3m tent with 4 sides (4th side provided for closing at night), corflute sign with your organisation’s name, and flooring when required. One light and one 10amp power point will be provided.
    • 6×3 marquees: Include a 6mx3m tent with 4 sides (4th side provided for closing at night), corflute sign with your organisation’s name, and flooring when required. Two lights and two 10amp power points will be provided.
  • Artist and Artisan Tables: Exhibitors must to supply one table (1.8mx75cm), one tablecloth, and one chair. Additional requirements should be noted or self-provided.
  • Food Trucks: Allocated spaces do not include any equipment. Indicate extra requirements (e.g., extra space, power) when registering. No generators are allowed for powering Food Trucks.

3. 2024 Festival Trading Hours

  • Brisbane: Saturday, 20th July, 12am – 10pm
  • Sydney: Sunday, 21st July, 12am – 10pm

Exhibitors are expected to trade for the entire duration of the event. For issues, email the Exhibitors coordinator at least three weeks prior to the event.

4. Stall Structure and Safety Exhibitors must not enter any stall space or area where work is being undertaken without authorisation. Contact the provided number if additional assistance is required on the day. Do not move or alter any structures or furniture supplied by the Organisers. Liability for any injuries caused by stall setup or alterations lies with the Exhibitor.

5. Setup

  • Setup Period: Begins on the day of the event from 8am until midday .
  • On-Site Facilities:
    • Protective Flooring: Mandatory for food stalls or those on grass. Provided by your own
    • Cold Rooms: Must be booked in advance. No private cold rooms allowed without prior approval.
    • Power: Must be pre-booked. Restrictions may apply.
    • Water: Availability is not guaranteed; exhibitors may bring their own supply.

Exhibitors are responsible for arranging all other equipment. Contact the preferred logistics supplier for assistance.

6. Exhibitors Bump-In Times Bump-in, including vehicle access, will be on day they of the event,  from 8am to 12pm only. Arrival times will be allocated based on stall location and communicated two weeks prior to the event. Vehicles are permitted for unloading only and must be removed by the specified time. Unauthorised entry will be considered a breach of the Exhibitor Agreement.

7. Dismantling Dismantling cannot begin before 10pm and must be completed by 12am on Sunday, 21st July 2024. For public safety, vehicle access cannot be guaranteed before 5pm.

8. Cleaning and Waste Removal Exhibitors are responsible for their own rubbish removal. Sufficient garbage bags should be brought for daily waste removal. General waste and recycling bins in public areas are not to be used for stall waste. Breaching this condition may result in exclusion from future events and extra cleaning costs.

9. Conditions of Payment A 50% payment is required within 10 days of approval to confirm registration. The remaining 50% is due within 10 days of receiving a reminder invoice at the end of June 2024. Full payment is required to guarantee stall space.

10. Cancellation Terms Cancellations must be in writing. An administration fee of 25% will be retained for cancellations up to July 2, 2024. No refunds for cancellations after this date.

11. Security and Insurance Exhibitors must arrange adequate insurance for their property and provide a copy of their public liability insurance at least four weeks prior to the event. Failure to do so will prevent operation at the event.

12. Exhibitor Responsibilities Exhibitors are responsible for:

  • Supplying required personnel and equipment.
  • The security of money/cash and stock.
  • Compliance with all relevant laws, including food handling and health & safety regulations.
  • Providing their own payment systems.
  • Ensuring adequate staffing.
  • Line management to communicate waiting times to customers.
  • Maintaining stock levels for the entire event duration.

Full bump-in/out details will be provided two weeks before the event.

13. Lost and Found Report any lost and found property to the Event Logistics Manager.

14. Proper Conduct Exhibitors must be respectful and courteous. Abusive, aggressive, or threatening behaviour will result in removal from the event and loss of fees.

15. Smoking and Alcohol Consumption Smoking, drinking, and drug use are prohibited at the event stall site. Breaching this rule may result in removal.

16. Goods Dispatch, Freight, Couriers, Customs, and Shipping Agents The Organisers cannot assist with delivery or dispatch of goods. All goods must be delivered during the allocated bump-in times.

17. Communications All enquiries and requests must be communicated in writing by email to ensure accuracy.

18. Full Terms & Conditions - Declaration

  • Compliance with rules and regulations is mandatory.
  • All stallholders must read and accept the relevant health and safety induction documents.
  • Registration is confirmed only with completed forms and payment.
  • The Organisers reserve the right to refuse or alter registrations.
  • Public liability insurance is mandatory for all exhibitors.
  • Full payment and adherence to deadlines are required for participation.
  • No refunds for cancellations after the specified date.
  • The Organisers are not liable for loss or damage to property.
  • Insurance requirements must be met.
  • Stall space is allocated by the Organisers and may be changed as needed.
  • The use of Organisers’ marquees is mandatory.
  • Conduct that disrupts the event will result in removal without refund.
  • All prices are exclusive of GST.

Ensure all documents are read thoroughly and attachments submitted with the application. Incomplete applications will not be accepted.
